Office Staff

Office staff is an individual employed as a clerical worker in an office. His/her job description entails providing assistance to his/her superior officers on assigned duties.
The office staff should be well groomed in clerical occupations with a good understanding of office management practices.
He/she will perform various office tasks and should be disposed to carrying out any clerical duties assigned in accordance with the particular office procedures.

Duties & Responsibilities:

  • Organize office and assist associates in ways that optimize procedures.
  • Sort and distribute communications in a timely manner.
  • Create and update records ensuring accuracy and validity of information.
  • Schedule and plan meetings and appointments.
  • Monitor level of supplies and handle shortages.
  • Resolve office-related malfunctions and respond to requests or issues.

Office Boy

An Office boy is an administrative clerk or assistant found within a business office environment. This is an entry-level position, often filled by recent graduates or interns who are still enrolled in an academic institution. Individuals in this role perform a variety of basic administrative duties.
An office boy answers incoming calls, routing them to the proper individual and taking messages when appropriate. This individual may also greet guests when they visit the office.
Organizing and maintaining records is often the responsibility of this professional. The office boy typically follows a predetermined protocol (for example filing alphabetically, by geography, etc.) when performing this task.
An office boy must learn to fully operate a photocopying machine. He may be asked to photocopy one item for his supervisor or many, such as participant material for a large conference.
Within certain environments, an office boy may also act as a scheduler. In addition to managing department calendars, he may also schedule conference room bookings, customer/client appointments and vendor service calls.

Duties & Responsibilities:

Sales Executive

A sales executive is responsible for helping build up a business by identifying new business prospects and selling products to them. They must maintain relationships with current clients and build and maintain relationships with new clients. They will also need to stay ahead of their competition and work on sharpening and improving their skills by attending classes, seminars or workshops.
Sales executives must understand the sales and marketing processes and be able to negotiate with clients. sales executive must be able to search out business leads and trending products. Communication skills are also vital to this job.

Duties & Responsibilities:

  • Conduct market research to identify selling possibilities and evaluate customer needs.
  • Actively seek out new sales opportunities through cold calling, networking and social media.
  • Set up meetings with potential clients and listen to their wishes and concerns.

Computer Operator

Computer operators manage computer systems and processes for various organizations. They’re responsible for monitoring computer hardware systems, checking that everything is functioning properly, as well as setting up devices or software to run jobs and listing technical problems. They provide support and advice to computer users, maintain system files, and identify and fix operating malfunctions. Most computer operators work a full-time schedule, although some may be required to work overtime if a crisis occurs as organizations rely on their computer systems to work efficiently. Computer operators should be great communicators, be comfortable working independently as well as part of a team, and be able to pick up new computer systems and software quickly.

Duties & Responsibilities:

  • Enter commands, using computer terminal, and activate controls on computer and peripheral equipment to integrate and operate the equipment.
  • Monitor the system for equipment failure or errors in performance.
  • Notify supervisor or computer maintenance technicians of equipment malfunctions.
  • Respond to program error messages by finding and correcting problems or terminating the program.
  • Read job set-up instructions to determine the equipment to be used, order of use, material such as disks and paper to be loaded, and control settings.
  • Operate spreadsheet programs and other types of software to load and manipulate data and to produce reports.
  • Retrieve, separate, and sort program output as needed, and send data to specified users.
  • Load peripheral equipment with selected materials for operating runs, or oversee the loading of peripheral equipment by peripheral equipment operators.
  • Answer telephone calls to assist computer users encountering problems.
  • Oversee the operation of computer hardware systems, including coordinating and scheduling the use of computer terminals and networks to ensure efficient use.
  • Record information such as computer operating time, problems that occurred, and actions are taken.
  • Clear equipment at end of operating run and review schedule to determine next assignment.
  • Type command on the keyboard to transfer encoded data from the memory unit to magnetic tape and assist in labeling, classifying, cataloging and maintaining tapes.
  • Supervise and train peripheral equipment operators and computer operator trainees.
  • Help programmers and systems analysts test and debug new programs.


Tele-Caller

Telecaller job requires fluency in required languages like English, Hindi and should have a good grip on computers. A telecaller job is usually at call centers as marketing agents or customer care agents. Telecalling is an economic and effective method used as a means of distributing information and selling their products and services to their new and old customers. In order to become a successful telecaller or to work in an efficient way.

Duties & Responsibilities:

  • Answering phones and explaining the product and services offered by the company.
  • Contacting existing customers as well as prospective customers using scripts.
  • Obtaining customer information and other relevant data.
  • Asking questions to the customer and understanding their specifications.
  • Resolving queries and issues related to the products and services.
  • Making recordings of all the sales phone calls and sales deals.

Receptionist

Front desk receptionists usually act as gatekeepers for an office. They allow access to other employees, answer phones, transfer calls, schedule appointments, answer questions, give directions and manage the flow of traffic in the office. It is the front desk receptionist who greets anyone who enters the building.

Duties & Responsibilities:

  • Greet people entering the building, answering any questions, providing directions, and alerting staff when someone is there to meet or visit them.
  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.
  • Manage the building log of who is entering and exiting the building.
  • Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup.
  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone.
  • Maintain the reception area, keeping it clean and free of clutter.
  • Assist new applicants who come into the building to apply for positions, including providing them with applications, pens, and clipboards along with any reference material they may need, such as telephone directories or Wi-Fi passwords.
  • Handle filing and data entry as requested.


Accountant

Accountants ensure the accuracy of financial statements for individuals, companies, and organizations. They make sure that laws and procedures are followed, and taxes are correct and paid on time. Accountants prepare financial documentation and explain their findings to individuals or a company's or organization's management.
There are several types of accountants. Management accountants prepare financial information that is used internally by the companies that employ them. Public accountants who work for accounting firms or are self-employed perform audits and prepare financial documentation and tax forms for clients. Government accountants work with government agencies financial records. They also audit businesses, organizations, and individuals that are subject to government regulation and taxation.
